But the first sure way to run a great meeting is to do some serious work yourself.

Here are some things to remember when planning and preparing for your meeting.

Set clear objectives for the meeting
Start by identifying the goals you want to achieve with this meeting. Next, consider whether the outcome you seek “really” requires the active, real-time participation of your team.

You may also want to ask yourself whether email conversations or memo reminders could vp technical email lists accomplish the same result. Another important consideration is whether the goal is time-sensitive and requires immediate action.

If the answer to both questions is a resounding yes, it's time to structure the meeting.

Creating an effective meeting agenda
Once you have a clear goal for your meeting, create an agenda that defines the main topics, who should discuss them, and what roles should be played (and by whom).

You can go a step further and prioritize agenda items, assigning each one a time frame for discussion.
