What requirements must the tool meet?
When making a decision, in addition to the operating model, the range of functions of the tool, interfaces , costs and customer support must of course not be ignored.


There is no right or wrong when it comes to the range of functions. You can't say the more the better. What is important is that the tool fits your individual requirements. Therefore, no recommendation can be made here as to what a tool must at least fulfill. First, think about which campaigns you want to implement and what you ideally need for them. A few questions can help you here, e.g.:

Do you plan to send date-controlled mailings?
Should the tool also send trigger mailings, e.g. order confirmations etc.?

If you prefer an on-premise solution, you can find suitable open source products on relevant portals (such as github.com or sourceforge.net). For very small mailing lists with a low sending frequency, there are also on-demand providers that enable free email marketing.

High-end solutions for sophisticated demands and ambitions
If you have a rapidly growing mailing list or demanding email campaigns, you should definitely take a closer look, as these “low budget” providers often become very expensive or no longer meet your functional requirements and you end up having to pay back the implementation effort with a new provider.

Here you should think in advance about which campaigns you want to implement in the future and what range of functions you need at a minimum. And last but not least, you should consider how important personal support is to you. Also realistically assess the skills of your employees and colleagues in order to achieve broad internal acceptance of the provider.

Consider the location of the provider
When choosing a tool, you should also pay attention to where the provider is based and where its data center is located. US providers must have signed either the EU-US Privacy Shield or the SCC (Standard Contractual Clauses) in order to be allowed to process personal data of EU citizens. Since data protection experts are contesting the validity of the agreements with the USA, it may be wise to avoid the risk and rely on European providers.
