According to Wikipedia, a duplicate is a data record in a database that is redundant, i.e. exists multiple times, but whose redundancy cannot be detected by checking for identical content due to different spelling. This is also true for duplicates in a CRM system, but with one difference - a duplicate in CRM can very well be detected! But first, let's look at the causes.
Many of our customers managed their contacts in Excel and Outlook before switching to CentralStationCRM. It is in the nature of Excel and Outlook that once you have a certain number of contacts, you lose track and the data quality deteriorates due to duplicates. We have developed a mechanism that analyses all contacts and/or companies in your CentralStationCRM account and automatically groups duplicates together. You can choose between the email address of your contacts, the first and last name, or a combination of first name, last name, and company as criteria for a duplicate. While the email address should generally be a unique feature and clearly identifies duplicates, identifying duplicates based on the first and last name (for people) is not always clear. You are the best person to decide how good the quality of your data is and whether you can remove the majority of duplicates by comparing email addresses.
