As highlighted above, Outlook allows you to configure additional auto-reply settings for:

Lock your Calendar for a defined duration
Decline new invitations to events taking place during that period
Decline and cancel meetings during the period
Sending automatic responses outside the organization
Send automatic responses outside your organization for incoming messages from contacts on your list
Step 5: Save your OOO message
Once you've customized your auto-replies and are happy with the quality directors email lists message (see tips below if you're stuck in the process), click Save to save your changes and activate Out of Office. Now, anyone who emails you will receive an auto-reply.

Please indicate the exact dates or period in which you will not be available.
Avoid rambling about the reasons for your absence and provide information so that the reader understands in advance why you are unavailable, when they can expect to hear from you, and how they can contact you in case of emergency.
Use alignment, color, and emphasis formatting options to highlight critical information, such as the time of your absence, alternate contact information, tentative response timeline, and more.
Tailor different auto-replies for internal teams and external contacts. For example, the message for internal teams can contain information about how to manage ongoing projects, while you can reply to external contacts by indicating your return date.
For external contacts, keep your message professional and relevant only to your absence, and keep confidentiality in mind.
Add a personal and friendly touch by including phrases like “Thank you for your patience” or “I look forward to connecting when I return.”
